Privacy notice
This notice explains what happens to personal information in connection with this website, and what your rights are. It is written to meet section 18 of the Protection of Personal Information Act, 2013 (POPIA).
Who is responsible
HTCO Financial Services (Pty) Ltd (“HTCO”, “we”, “us”) is the responsible party for the personal information described in this notice.
Requests about personal information may be addressed to the Information Officer through the contact details at the foot of this page.
What this website collects
Nothing. This website sets no cookies, runs no analytics or tracking of any kind, embeds no third-party scripts, and has no form that submits data to us.
The enquiry form on the contact page does not send anything to this website. It opens your own email programme with a message prepared, which you then choose to send, edit or discard. Until you press send in your own email programme, nothing leaves your device.
What our hosting provider records
The website is served by Render Services, Inc. Like every web host, Render records technical information about each request — including the IP address making it, the page requested, the time, and the browser identifying itself. This is standard server logging, used to operate the service and to detect abuse.
We rely on legitimate interest in the security and proper operation of the website as the basis for this processing. We do not use these records to identify individual visitors and we do not combine them with anything else.
Render's servers are outside South Africa. Where personal information is processed outside the country, POPIA section 72 requires a lawful basis for the transfer; we rely on the transfer being necessary for the performance of the contract under which the website is hosted.
If you email or telephone us
If you contact us, we process what you choose to tell us — typically your name, your contact details and whatever your enquiry concerns — for the purpose of answering you and, if it leads to work, of providing that work.
Email to and from the firm is handled by Microsoft 365.
Providing this information is voluntary. If you would rather not, we simply cannot answer an enquiry we have not received.
Client information
When we are engaged to provide accounting, tax, financial reporting or secretarial services, we process the information that work requires. That processing is governed by the engagement letter for the work and by the rules of the professional bodies we belong to — not by this website notice.
We keep client records for as long as the engagement and the law require, including the retention periods in the Companies Act and the Tax Administration Act.
Who we share information with
We do not sell personal information and we do not share it for marketing.
We share it only where it is necessary to do the work you have asked for, where you have asked us to (for example, filing with CIPC or SARS on your behalf), or where the law requires it.
Your rights
You may ask us what personal information we hold about you, and ask that it be corrected or deleted. You may object to processing. You may withdraw consent where our processing rests on consent.

If you are not satisfied with how we have handled a matter, you may complain to the Information Regulator (South Africa): complaints.IR@justice.gov.za, or see inforegulator.org.za.
